Google User Data
OS-BOOKS (https://os-books.com) is an accounting and inventory management application. When you choose to connect your Google account, we request only the minimum Gmail permissions required to send invoices and business documents from your own Gmail account on your behalf.
What Google data is collected
- Google OAuth access and refresh tokens required to maintain your Gmail connection
- Your connected Google account email address and basic account identifier
- Information necessary to send emails you initiate through OS-BOOKS, such as recipient addresses, subject lines, message content, and attachments you provide
Why the data is collected
We collect this information solely to enable Gmail integration — allowing you to send invoices and business documents directly from your Gmail account without leaving OS-BOOKS.
How the data is used
Google user data obtained through Gmail OAuth is used exclusively to provide Gmail sending functionality that you explicitly request. We do not use Google user data for any purpose unrelated to this integration.
What we do not do with Google user data
- We do not sell Google user data to any third party
- We do not use Google user data for advertising or marketing purposes
- We do not use Google user data to train AI or machine learning models
- We do not share Google user data with Groq or any other AI provider
Google User Data Retention
OAuth tokens and associated Google account information are retained only while you keep your Google account connected to OS-BOOKS.
All Google-related data is stored securely using industry-standard security measures, including encryption in transit and at rest, access controls, and secure server infrastructure.
We retain Google user data only for as long as necessary to provide Gmail integration functionality. Once you disconnect your Google account or request deletion, retention ceases in accordance with our deletion practices described below.
Google User Data Deletion
You may disconnect your Google account from OS-BOOKS at any time through your account settings within the application.
You may also request deletion of Google-related data by contacting our support team at info@os-books.com.
Users may also revoke OS-BOOKS access directly from their Google Account security settings.
Upon account disconnection or upon receiving a verified deletion request, Google OAuth tokens and associated Google account information are permanently deleted from our systems within 30 days and will no longer be accessible or used by OS-BOOKS.
AI Services
OS-BOOKS uses Groq as a third-party AI provider to assist with invoice data extraction. This functionality is triggered only when you voluntarily upload invoices for processing within the application.
Google user data obtained through Google APIs — including Gmail OAuth tokens, Google account information, and any data accessed via Gmail — is never shared with Groq or used for AI processing, model training, analytics, advertising, or any unrelated purpose.
Groq does not receive Gmail message content, Gmail account data, Google OAuth tokens, or any Google user data obtained through Google APIs.
Invoice files you upload for extraction are processed separately from Google user data. Groq is used solely to extract structured data from uploaded invoice documents at your request, and is not used to process or train on any Google user data.
OS-BOOKS use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Changes to Privacy Policy
We may update our privacy policy from time to time. We will notify you of any changes by posting the updated policy on our website.
Grievance Redressal
We have designated an officer who will address any complaints or concerns that you may have regarding our handling of your personal information. Contact details of the grievance officer will be made available on our website.
